Board of directors:
Chairperson
- to administer and give direction to the program
- to liaise between the Board of Directors and the office staff
- to represent CBPA publicly during the term of office
- to work with the Treasurer to ensure the financial well-being
of the Association
- to ensure that agendas are prepared for all meetings
- to chair all general and special meetings
- to provide co-signing authority on all cheques and contracts
- to liaise with the Alberta Block Parent Association and the
Block Parent Program of Canada Inc.
- to prepare the annual report
- to prepare the Vice Chairperson to assume the duties and
responsibilities of the Chairperson
- to work with the Executive Director to ensure the affairs
of the Association are being handled adequately and responsibly
- to annually review the volunteer roster and to intervene
as required
- to visit the office on a weekly basis to discuss administration
of the porgram with the Executive Director and staff
Time required is between 4 and 20 hours per
month, at least one hour per week working with staff in the office.
Term of office is a minimum of one year.
Secretary
Qualifications: Ability to work with computer and e-mail. Working
knowledge and familiarity with Microsoft Word. Good command of
written English. Ability to work independently and on an agreed
upon schedule.
- To attend all general and Board Meetings and to record minutes
- To type up minutes on computer
- To work with Executive Director to format minutes
- To ensure that minutes are printed and mailed within 3 weeks
of each meeting
- To ensure that minutes are filed in Minutes Book in the office
- To record all motions in a Motions Book
Time required: Sufficient time to complete the above duties.
Could require up to 4 hours per month when meetings are scheduled.
Treasurer
Qualifications: Ability to work with
computer and e-mail. Familiarity with "Quick Books" or
availability to take immediate training. Working knowledge
of banking procedures. Able to work independently and on an
agreed upon schedule
- Obtain records of all financial transactions from office
no less than every two weeks
- Enter all transactions into "Quick
Books"
- Cross check with office computer at the end of each month
- Reconcile cheque book and computer records to bank statement
monthly
- Prepare monthly and quarterly financial statements within
30 days of each month end
- Attend all Coordinator and Board Meetings or arrange for
alternate to give financial report at each
- Assist Executive Director to prepare annual budget each December
- Prepare year's financial records to be delivered to accountant
before the end of January each year
- Provide co-signing authority on cheques
Time required to perform the Treasurer's duties could vary between
6 and 10 hours per month depending on skill level.
Vice Chairperson
- to assist, support and communicate closely with the Chairperson
- to represent CBPA in the absence of the Chairperson
- to familiarize self with all aspects of the CBPA
- to provide co-signing authority on all cheques and contracts
- to ensure adequate notice of meetings is given to all members
Time required is approximately 10 hours per month.
Term of office is up to one year as Vice Chairperson followed
by a minimum of one year as Chairperson.
Director
There is a wide variety of duties performed by the Directors of
CBPA, some of which are described here. Being a Director is a good
way to learn about CBPA, before taking on a greater leadership
role.
- To familiarize themselves with the Association
- To attend all general meetings and Board Meetings
- To fulfill at least two additional duties to ensure the Association
functions as required, which include:
- Coordination of Volunteer Appreciation Day at Imax
Theatre
- Chair Newsletter Committee
- Volunteer recruitment
- Coordinate Special Events: Spruce Meadows (3), Spring
Home and Garden Show, others.
Time required: Would vary depending on duties.
Term is a minimum of one year.
Community
Coordinator
- to distribute new and replacement signs in your area (check
with the office every 6 weeks).
- orientation/training of new Block Parents.
- maintain records of all Block Parents
in your area (file cards, boxes and "streets book" are
supplied) by contacting each Block Parent in your area by
phone at least once a year to update records and discuss
issues pertaining to the program.
- advertise Block Parent in your community, i.e. in the community
newsletter, school newsletters or bulletins, public health
offices, libraries, doctor's office etc.
- attend co-ordinator meetings (approximately 3 per year, excluding
July, August and December). Attendance is required at a minimum
of two meetings per year.
- assist with or give a presentation on Block Parent to each
elementary school in your community. Kindergarten programs
are to be done annually and the remaining grades to be done
every other year. These programs are designed to teach school
children about Block Parent and personal safety.
- to participate in at least one special or promotional event
annually.
This may sound like a lot, but this is a complete
description. Some months are busier than others, i.e. following
school programs. July, August and December are slower months
and we encourage our volunteers to take these months off. A time
commitment of approximately 3-4 hours a month would be realistic.
